Privacy policy

Poli PR (ABN 56 051 376 524) ("we", "us", "our") respects your privacy. This policy explains how we collect, use, store and share personal information, and how you can access or correct it. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

By using our website, contacting us or working with us, you agree to us handling your personal information as described in this policy.

What we collect

We only collect personal information that we need to respond to you and to provide our services. This may include:

  • Contact details, such as your name, email address, phone number, organisation and role
  • Campaign and project details you share with us through our Get Started brief, contact form, emails or meetings, such as your campaign, electorate or region, goals, timing, budget and preferred way to be contacted. If you start our campaign brief and choose to save it and finish later, we store the answers you've entered so far, and the email address you give us for the resume link, so you can pick up where you left off. We treat a partly completed brief with the same confidentiality as a submitted one.
  • Newsletter sign-ups, which are your email address
  • Client information we need to deliver a project, such as content, images, branding files and logins you choose to give us
  • Website usage information collected automatically when you visit, such as your IP address, device and browser type, the pages you view, how you arrived at our site and how you interact with it (see Cookies, analytics and advertising below)

Sensitive information

Because we work in politics, information you share with us may reveal your political opinions, your membership of a political party or other affiliations. Under the Privacy Act this is sensitive information. We only collect it with your consent, which you give when you choose to share it with us, and we only use it to respond to your enquiry and to deliver our services to you.

How we collect it

We collect personal information directly from you when you:

  • fill in our Get Started brief or contact form
  • subscribe to our newsletter
  • email, call or meet with us
  • engage us to work on a campaign or project

We may also collect information that is already publicly available, for example a candidate's public profile or published campaign material, when it is relevant to work you have asked us to do.

How we use it

We use your personal information to:

  • respond to your enquiry and prepare a proposal
  • deliver, manage and invoice our services
  • keep in touch about your project
  • send you our newsletter and updates, if you have asked for them
  • improve our website and services
  • understand how people use our website and measure and improve our advertising
  • meet our legal obligations, including electoral authorisation and record-keeping requirements

We will not sell, rent or trade your personal information.

Who we share it with

We only share personal information when we need to, and only with:

  • Service providers who help us run our business, such as our website host and form provider, our customer relationship management (CRM) and email marketing platforms, cloud storage, and accounting software
  • Google and Meta, through the analytics and advertising tools described below
  • Suppliers working on your project, such as printers, advertising platforms and media outlets, and only the details they need to do that work
  • Regulators or authorities when the law requires it

Our service providers are bound by their own privacy and security obligations.

Overseas storage

Some of our service providers, including our website host and form provider, Google and Meta, store data on servers outside Australia, including in the United States. When we use overseas providers, we take reasonable steps to make sure they handle your information consistently with the Australian Privacy Principles.

Emails and unsubscribing

If you subscribe to our newsletter or receive marketing emails from us, every email includes an unsubscribe link. You can also email us at any time to be removed from our list. We follow the Spam Act 2003 (Cth).

Cookies, analytics and advertising

Our website uses cookies and similar technologies. Cookies are small files stored on your device that help websites work and give website owners information about how their site is used.

Google Analytics

We use Google Analytics to understand how visitors use our website, such as which pages are visited, how long people stay and how they found us. Google Analytics collects information such as your IP address, device and browser details and pages viewed, and Google may process this information on servers overseas. We use this information in aggregate to improve our website. Meta Pixel

We use the Meta Pixel, a tool provided by Meta Platforms (the company behind Facebook and Instagram). It helps us measure how effective our advertising is and show our ads to people who have visited our website, or to people similar to them, on Facebook and Instagram. The Meta Pixel collects information such as your IP address, browser details, the pages you visit and actions you take on our site, such as submitting a form. Meta may link this information to your Facebook or Instagram account. You can learn more in Meta's Privacy Policy and control the ads you see in your Facebook ad preferences.

Managing cookies

You can block or delete cookies in your browser settings. If you do, some parts of our website may not work as intended. Blocking cookies will not stop you from using our contact form or Get Started brief.

How we store and protect it

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, change or disclosure. This includes using reputable, secure platforms, limiting access to people who need it, and treating all client and campaign information as confidential.

We keep personal information only for as long as we need it for the purposes above or as required by law. After that, we delete or de-identify it.

If a data breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme.

Accessing and correcting your information

You can ask to see the personal information we hold about you, or ask us to correct or delete it, by emailing contact@polipr.com.au. We will respond within a reasonable time, usually within 30 days. If we can't give you access, we will explain why.

Questions and complaints

If you have a question or concern about how we have handled your personal information, please email contact@polipr.com.au. We will look into it and respond within 30 days.

If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
